    【Job Function】
    - Organize and support Corporate Governance job with instruction of Directors
    - Taking the communication with Japan office related to the Corporate Governance when necessary
    - Plan and proceed the IT utilization among the company together with Management
    - Communicate with IT department and related department to proceed any IT related project
    - Manage Corporate Support Team to proceed overall back-office job
    - Excellent communication skill and proactive attitude to maintain the healthy relationship among employees
    - Excellent organizing and tidy up skill to handle documentation and schedule for the company
    - Manage and/or improve KL office facilities, infrastructure, conditions, and office security
    - Manage and/or improve the condition of the office condition and operation
    - Understand on the Japanese company culture (not required for the actual experience, but attitude to willing to understand is important)
    - Manage and lead the career development of the subordinate
    - Able to discuss and propose about the organization structure and staffs career development plan

    【Job Responsibilities】

    - Attend on the meeting between Japan related to the Corporate Government and co-work with Directors to implement
    - Plan and propose the idea to upgrade the company operation including the usage of IT
    - Plan and propose the idea to upgrade the security including the usage of IT
    - Support Analyzing and updating of the overall company regulation and policy with Director
    - Collaborate and communicate with company secretariat in all business-related matter arising from the operations need forms
    - Support Expatriate in work permit application and certain level of basic personal life-style support
    - Support and arrange hiring procedure to ensure a sufficient manpower in the Sales office through the communication with other staffs in the Sales office.
    - Monitor and arrange the onboard program for new employees (ID, PC, E-mail address, Name Card, etc.) to ensure a smooth and pleasant hiring process.
    - Manage and monitor the Reporting job of the attendance and OT matters i.e. scan and email leave forms, MC & OT to HQ to enable accurate salary calculation
    - Coordinate & organize all related forms which include leave forms, staff token & PR
    - Communicate and execute newly established policies as the support of HRGA and/or Directors and navigate KL office staff (Including merchandisers) towards the direction of the policies
    - Understand the Sales office situation, and proposing the upgrade of the policies, events, office set up, and etc., through the discussion with Superior and MLK office for the overall improvement
    - Monitor and implement the idea to provide good hospitality to visitors and clients to help promote a positive image of the company Oversee
    - Support Sales team and Directors on traveling arrangement (Visa, Flight, Stay, Logistic, Allowance, etc.)
    - Co-ordinate and arrange training for Sales Teams with HQ to enable employees are equipped with appropriate knowledge and skill.
    - Act as Safety and Health representative for Sales Team in the SHE Committee to enable safety and health issue of the employee are assured.
    - Complete necessary documents and license to maintain office operation
    - Discuss and propose for the upgrading company organization structure and staffs' career development plan
    - Monitor and manage Company related assets been used properly and efficiently (e.g. Office facilities, Company Car, Company TnG card, - Credit card, Petrol Cargs and etc.

Qualifications

  • Requirement

    - Education Background : Preferably Diploma/ Degree in Computer Science, Internet Technology, Business Administration, International Business, Secretary or other equivalent.
    - Experience : Candidate with at least 5 years experience handling company backend operation/ management coordination.
    - Require Skill: Possess minor IT knowledge/ working in IT companies (recent/ previous is ok)
    - Understand of Company Act 2016 will be attractive bonus.
    - Excellent oral and written communication skills in English, Malay and Japanese; proficiency in other foreign language will be an added advantage
    - Communication skills in order to establish friendly relationship
    - Computer literacy with Microsoft Power Point, Word, and Excel.
    - Possess excellent interpersonal and communication skills and able to foster teamwork
